Program Assistant

Philadelphia, PA, United States Full Time

JOB SUMMARY:

Provides administrative oversight and technical support for AACR’s portfolio of research grants. This individual will provide support for the development, launch, and selection of a number of AACR’s research grants and will provide assistance on other various programs within the department and special projects as needed.

Major Duties and Responsibilities:

  • Performs extensive written and verbal contacts with grant applicants to respond to questions regarding the grant application process and membership issues, and communicates general information
  • Assists in the development and distribution of marketing materials for grants, including website updates, graphics requests, and email drafts
  • Communicates with online application and review system for launching grants, monitors system, and maintains records and statistics of initiated and submitted applications
  • Maintains grant application materials in a secure manner, conducts initial review of applications for completion and eligibility
  • Drafts correspondence, prepares review instructions, obtains ratings, and compiles reports for the Scientific Review Committee members
  • Coordinates arrangements for Scientific Review Committee conference calls, including obtaining availability and assisting in preparation and distribution of agendas, and other required materials
  • Updates committee member and grant recipient data in database
  • Maintains confidentiality of information collected from grant applicants, grant recipients, committee members, and other individuals
  • Performs other administrative and clerical tasks to support Scientific Review and Grants Administration Department
  • Supports the Senior Program Administrator, and other grants administration staff as needed, with written, telephone, and email communications for the department
  • Word processing (MS Word)
  • Data entry and report generation (MS Excel and database)
  • Extensive verbal and written communication
  • Clerical duties such as photocopying, mailing, and shipping
  • Proofreading
  • Maintains extensive electronic filing system
  • Schedules Scientific Review Committee conference calls
  • Uses simple mathematics to calculate totals and averages
  • Attends meetings as needed

Education and Training:

  • Bachelor’s degree required.

Computer Knowledge:

  • Experience with on-line grant application or management systems (such as proposal CENTRAL), or other relevant database driven systems.
  • Proficient in MS Office products.
  • Excellent grammar, spelling, and syntax
  • Excellent writing, editing, and proofreading skills

Work Experience:

  • Minimum of 1-2 years of administrative experience, preferably in a non-profit, academic, or scientific environment
  • Excellent written and verbal communication skills
  • Highly organized and able to maintain a vast amount of information
  • Able to work well in a team environment
  • Able to meet deadlines
